Partner Network · Rejecting a Candidate After Acceptance

Sometimes things change after you have accepted a lead and started representing a candidate. This guide explains when to use the 'Reject candidate' action, what happens to the candidate, and how it impacts your agency.

When you should reject after acceptance

Use 'Reject candidate' only after you have done your best to keep the case moving. Common legitimate reasons:

The candidate has become unresponsive for more than 14 days despite multiple follow-ups.
The candidate has revoked their consent or wishes to switch to a different agency.
KYC review has revealed disqualifying information (e.g., fraudulent documents, sanctions hit).
The candidate no longer meets the programme's basic eligibility (e.g., expired passport with no renewal in sight, change of nationality, age out of bracket).
Your agency's licence in their destination country has changed and you can no longer represent them.

How to reject

1Open the candidate detail page from the Zero Deposit tab.
2Scroll to the 'Reject candidate' panel (red box at the bottom).
3Click 'Reject candidate'. A textarea appears.
4Write a reason of at least three characters - be honest and specific. This text is visible to the candidate and to Workium admins.
5Click 'Confirm rejection' and confirm the dialog.

What happens next - for the candidate

They receive an email titled 'Update on your Zero Deposit application' explaining your agency had to step back and quoting your reason.
Their MyWorkiumMove dashboard shows a 'Looking for a new agency' indicator.
The Zero Deposit case is automatically re-matched to the next eligible partner agency in their city. If no other partner is available, they are added to a wait-list.
The programme slot is released so they don't lose their place.

What happens next - for your agency

The application's status becomes 'rejected' in your Zero Deposit tab.
Your acceptance-to-rejection ratio is recorded for SLA stats.
Workium admins receive an audit-log email with the full context (programme, reason, candidate email).
You will not receive any further milestone invoices for this case.

How rejections affect your standing

Workium expects rejections after acceptance to be the exception, not the rule. A high after-accept rejection rate (more than 10 percent over 90 days) puts your agency under review. Two safeguards:

Reasons are reviewed individually by admins.
Rejections caused by candidate behaviour (unresponsive, withdrawing) are weighted differently from agency-side rejections.

Better than rejecting after acceptance

Reject the lead BEFORE acceptance whenever possible. The pre-accept reject form is one click and does not impact your standing.
Set realistic expectations with the candidate in your first email. Make sure they understand the documents they need, your fee, and the milestones.
Use the Notes panel to document every interaction so you can prove due diligence if a candidate later disputes the rejection.

Can a candidate be re-accepted?

Yes. If the situation that caused the rejection resolves (the candidate becomes responsive again, or the disqualifying issue is fixed), you can request Workium to re-route the lead back to your agency from the Messages tab.
