After you submit — matching, dashboard timeline and how Workium notifies you

After submission, your application moves through Review → Matching → Awaiting Agency → Accepted. You are notified at every transition by both email and iOS-style toast on your dashboard. Most candidates are matched within 5–10 business days of all documents being approved.

The stages your application passes through

1Awaiting documents. You have applied but not yet uploaded every required document. Your dashboard 'Documents' panel shows which are still outstanding.
2Review. All documents uploaded, agreement signed, application submitted. Workium caseworkers verify each document. If one is rejected (wrong format, missing page, etc.) you receive an in-dashboard notification with the exact reason and you can re-upload immediately. Review typically takes 1–2 business days per document.
3Matching. All documents have been approved and your application is in the matching pool. Workium proposes you to one or more vetted Partner Agencies who are accepting candidates for your chosen programme. Matching typically completes within 5–10 business days.
4Awaiting agency. A Partner Agency has been offered the lead and has up to 48 hours to accept. If they decline (or the 48 hours expire) the lead automatically re-routes to the next Partner Agency. You see every offer history transition (Agency A declined → re-matched to Agency B) inside your dashboard so the process is transparent.
5Accepted. A Partner Agency has accepted you. Their company profile, contact details, agreed milestone fees and the assigned caseworker become visible on your dashboard. From this point, work on procuring your employment documents and lodging the work-permit application begins immediately.
6Documents issued + Payment 1. The Partner Agency procures your employer documents and lodges the work-permit application. The moment Workium confirms receipt and verification, Payment 1 becomes due (within 5 calendar days). Pay through Stripe Checkout from your dashboard.
7Visa lodged. The Partner Agency lodges your visa application with the embassy or consulate. The timeline depends on the embassy and is published on your dashboard.
8Visa issued + Payment 2. When the visa is granted, Payment 2 becomes due (within 5 calendar days).
9Travel & arrival. The Partner Agency coordinates your travel, accommodation and first-week orientation with the employer.

How Workium notifies you

Every stage transition triggers (i) an email to your Workium account address, (ii) an in-dashboard notification (the bell icon in the top bar), and (iii) an iOS-style toast that appears at the top of your dashboard for 5 seconds the next time you visit.

At key transitions you also receive a 'login insight' popup the next time you log in — for example, 'Matching is unlocked' when all documents are approved, or 'A new agency has accepted you' when the Partner Agency confirms.

If you have questions while your application is in any stage, you can message your Partner Agency directly from the Workium dashboard ('Messages' tab) or open a ticket with Workium support via the help-center widget.

Typical end-to-end timeline

Germany ZAV: ~3–4 months from submission to arrival. Serbia: ~45–60 days from submission to visa decision. Bulgaria seasonal: ~45–60 days. Hungary: ~45–60 days. Finland: ~3–4 months for skilled welding placements.

These are typical timelines. Embassy backlogs, document re-issuance and force-majeure events can extend them; Workium publishes any material change on your dashboard.

What to do if a stage is taking too long

If your application has been in 'matching' for more than 10 business days, email support@workium.co.uk with your application id; we'll triage. If a Partner Agency has accepted but no progress is being made, you can rate the agency and request a re-match — see the 'rate your agency' panel on the dashboard.

Required documents for the Zero Deposit Program

Every Zero Deposit applicant uploads the same baseline document pack: passport bio page, passport photo, CV, proof of financial means, civil-status proof, police clearance, and a basic medical certificate. Some programmes layer on extras (e.g. proof of trade qualification). All documents are reviewed by a Workium caseworker before matching.

Payment milestones, fees and how billing works

Zero Deposit pricing is structured into two milestone-linked payments: Payment 1 is due 5 days after your employment documents and work-permit authorisations are issued and verified; Payment 2 is due 5 days after your visa is issued. The exact amounts depend on the destination programme and the matched Partner Agency. Government, embassy, courier and translation fees are extra.
