Account Settings, Team Members and Access Levels

How to manage your company profile, branding, password and team members in your Workium for Business workspace — including a full explanation of the Owner / Admin / Member access levels.

Account Settings — Workium for Business

Every Workium for Business workspace has a self-service Account Settings panel that lets you manage your company profile, brand styling, your own password, and who else has access to the workspace. Open it from the sidebar of your business dashboard under "Account → Account settings".

There are four sub-sections:

1Profile — your company name, primary contact name, phone, industry, company size, website, address and country. These details appear on invoices, branded receipts and emails sent from your workspace.
2Branding — upload a company logo (PNG or JPG up to 2 MB) and pick a primary and accent color. Branding flows through to invoices and shareable case dossiers.
3Password — change your own password. Successfully changing your password signs out every other device or browser you're logged in on.
4Team — invite teammates, see who has access, change their access level and resend or revoke invites.

Access Levels (Owner / Admin / Member)

Workium for Business uses three access levels. Each invitee is assigned an access level when invited, and Admins or Owners can change it later from the Team table.

OWNER — Full control of the workspace.

Edit company profile and branding
Invite, revoke and resend team invites
Promote or demote any member to ANY role, including Owner
Manage billing and close the account

Constraint: there must always be at least one Owner per workspace. The system will block you from demoting the last Owner — promote someone else first.

ADMIN — Operational manager.

Edit company profile and branding
Invite new members and revoke or resend pending invites
Switch other members between Member ↔ Admin

Constraint: an Admin cannot promote anyone TO Owner, demote an Owner, or change their own role.

MEMBER — Day-to-day contributor.

Full read/write on operational tabs: cases, assessments, documents, formations, alumni, payments, messages
Change their own password

Cannot: manage the team, edit company profile, edit branding, change billing.

Inviting a Team Member

Open Account settings → Team. Fill in the invite form:

Work email (required)
Name (optional)
Access level (Member, Admin, or Owner if you are an Owner)

What happens next:

If the email is brand-new to Workium, we auto-provision a workspace login and email them a 12-character temporary password. Their account is flagged 'must change password' until they update it.
If the email already belongs to an existing Workium user, we just attach them to your workspace — the invite email contains an accept link, no temp password.
The invite email is sent from "Workium for Business" and replies route to the team that owns your service (mobility / formation / alumni).

Managing the Team Table

The Team table on the Account settings → Team page shows every workspace member, including yourself and the original Owner. Each row displays:

Member name and email
Access level (with an inline dropdown if you have permission to change it)
Status — "active" once they have logged in, "invited" if they haven't yet (a small "temp pw" tag appears for invitees still on their temporary password)
Last login timestamp
Action buttons: Resend invite (admins+, only for not-yet-active members) and Revoke (admins+, except for Owners)

Resend Invite Sends the same temporary password again so invitees who lost their first email can find their credentials in their inbox. The temp password is NOT regenerated — use Revoke + re-invite if you need to fully reset.

Revoke Removes the invitee's workspace access. If we provisioned a fresh Workium login for them, that login is also deleted. An Owner cannot be revoked from this UI — first transfer ownership by promoting another member to Owner, then demote the original Owner before revoking.

First Sign-In as an Invitee

If you were invited and received a temporary password:

1Visit https://workium.co.uk/login → switch to the Business tab
2Enter the email and temporary password from the invite
3You will land in the workspace immediately. Open Account settings → Password and change your password right away — the system shows a yellow banner reminding you.

Frequently Asked Questions

Q: Can multiple people share a single login? A: No — each teammate should be invited with their own email. The audit trail (who edited what, who invited whom, last login) is per-account.

Q: Can a Member promote themselves to Admin? A: No. Members cannot change anyone's role, including their own. Ask an Admin or Owner.

Q: I'm the only Owner and want to leave the workspace. What do I do? A: Promote another teammate to Owner first. Once there are at least two Owners, the second Owner can change your role or remove your access.

Q: Will changing branding affect existing invoices and receipts? A: No — already-issued PDFs are immutable. New invoices, receipts and emails issued after the change will use the new logo and colors.

Q: Where do I see who is currently online or who recently signed in? A: The Team table's "Last login" column shows the most recent successful login per member.
